# User Self Service Center
The **User Self Service Center** is the place where you can manage your **Disroot** account settings.
Log in with your **Disroot** username and password.

## Change your password

Click on this option to change your current password.
Follow the password creation rules and enter the new one twice.

Once you've changed your password you will need to make sure to change your encryption key in the **Cloud**, since all your files in **Nextcloud** are encrypted with a key that is generated from your password.
1. Go to **[https://cloud.disroot.org](https://cloud.disroot.org)** and log in with your new password.
You will see a yellow message on top of the page:<br>

2. Click on your name in the top right corner and select **Personal** from the menu.
3. Scroll down to **Basic Encryption Module** and type in your old password and your new password and click **Update Private Key Password**.

4. Log out of **Nextcloud** and log back in and that's it, you're all set and can view your file again.

## Setup Security Questions

In case you forget/lose your password, you can reset it without Admins intervention by seting up the security questions first.
The proccess is pretty simple: click on ***Setup Security Questions***.

Write the first question and its answer, then select the next two questions from the drop-down list and write the answers as well.<br>

1. Ve a **[https://cloud.disroot.org](https://cloud.disroot.org)** y accede con tu nueva contraseña.
Verás un mensaje amarillo en la parte superior de la página:
`Invalid private key for Encryption App. Please update your private key password in your personal settings to recover access to your encrypted files.`
2. Haz click sobre tu nombre en la esquina superior derecha y selecciona la opción **Personal** del menú.
3. Deslízate hacia abajo hasta **Módulo de encriptado básico de Nextcloud** y escribe tu antigua contraseña y tu nueva contraseña y haz click en **Actualizar Clave Privada de Contraseña**.
4. Cierra la sesión de Nextcloud y vuelve a ingresar. Eso es todo. Ya estás listo y puedes ver tus archivos de nuevo.

4. Jelentkezz ki a Nextcloudból, majd vissza be, és készen is vagy! Ismét meg tudod nézni a fájljaidat.
TIPP: Ha elveszíted a jelszavad, nem leszel képes visszaállítani a fájljaidat a Nextcloudon, mivel titkosítva vannak, így még a szerveradminisztrátorok sem láthatják a tartalmukat.

Verá uma mensagem a amarelo no topo da página:

2. Carregue no botão "roda dentada" no canto superior direito e selecione **Personal** no menu.
3. Vá até à opção **Nextcloud basic encryption module**, insira a sua senha antiga e a sua nova senha e carregue **Atualizar a Palavra-passe da Chave Privada**.
4. Faça Log out do Nextcloud e volte a entrar, e é isso - está tudo pronto e pode ver os seus ficheiros novamente.
Dica: Se você perder a sua senha não será capaz de recuperar os seus ficheiros no Nextcloud pois eles estão encriptados de modo a que nem os administradores do serviço possam ver o seu conteúdo.

# Getting started
Once you have logged in, you will find the main **Roundcube** screen which is divided into the following sections:

## 1. Tasks section
Here you can access the main tasks such as **Compose** an email, **Mail**, **Contacts**, **Cloud** and **Settings** (we will see all these tasks and settings in detail in the next chapters of this tutorial). The **Logout** button (to terminate the current session) is also in this section. You can switch from one task to another by using this tasks list. This will reload the screen with a specific view for the selected task but they can also be opened in individual browser windows or tabs. Just right-click on a task icon and then choose “Open Link in New Tab/Window” from the browsers context menu.

By clicking on the three dots icon on the right of your username, you access a menu of actions related to the folders.

This action will compact the folder size by deleting messages that have been marked for deletion.
- **Empty**<br>
This will delete all messages in the Trash and Junk folders permanently. **This operation cannot be undone**, so be careful when doing it.

This action will obviously mark all the unread messages in the selected folder as read.
- **Manage folders**<br>
This option will take you to the folder settings section where you can manage (create, delete, rename or re-organize) the mailbox folders.

**Roundcube** allows you to organize and sort your messages as **Threads**, this is a set of messages from a conversation grouped by "topic". You have to toggle between **List** (the default view mode) or **Threads** view. To do it, click on the **Options** button, select "Threads" in **List Mode** and finally **Save**.

In "Thread" mode, groups of messages can be expanded or collapsed by clicking the arrow icon to the left of the message list.
#### Refresh
The client periodically and automatically checks for new messages on the server. You can force this check manually by clicking this Refresh button.

Here is where all the messages in the current folder are displayed. Depending on your settings, the list will only display a number of messages at a time. You can see the number of messages displayed in the list and the total number of messages in that folder right below the list (c). Use the arrow buttons to browse through the pages.

You can also use the **Search** function to find a message. Enter a search term and press <Enter> on the keyboard to start searching. To reset the search, click the clear icon on the right border of the search box.

This sections displays a currently selected message from the **Messages list** as well as some most used actions like reply or forward a message.

#### Reply / Reply All

To respond on a received message, just click the **Reply** or the **Reply all** button. This will open the compose screen with a quote of the message you are replying to and with the recipient(s) pre-filled.

**Reply** will copy the sender address into **To** field and **Reply all** will add all recipients of the original message to the **To** and **Cc** fields.
Additionally, you can choose to **Reply All** other contacts included in a group email or a mailing list if any.

You can also forward an email to someone by clicking the **Forward** button.
The compose screen will contain the message text and attachments already added. You can also add or remove attachments.

There are three **Forward** options:

- **Forward inline**<br>
This is also the default mode. The content and attachments of the original message are copied to the message text editor and can be modified or deleted.<br>
**NOTE**: This mode can truncate or re-format HTML formatted messages.
- **Forward as attachment**<br>
This option generates a copy of the original message that is attached to the forwarding message. In this way the original message will keep its formatting and attachments and will not allow you to modify anything.
- **Resend (bounce)**<br>
This option is similar to the previous ones, but it works differently. Since it forwards the email untouched it is not necessary a complete mail composing page, just a dialog box to enter few data. The **From**, **To**, **Cc** and/or **Bcc** information will be appended to the original message as headers with Resent- prefix according to mail standards.

#### Delete

This option moves the currently selected message to the trash folder. As it does not permanently delete the message, by default this action will not ask you to confirm to send it to Trash.
#### Show size

We already saw this one within the options of the Folders section: it shows/hide the actual size of the folders.
#### Clean
Depending on the settings of your Trash folder, when you click on **Clean**, this option will look for old messages and ask you if you want to delete them.

This option sends a selected message to the **Junk** folder. Since it does not permanently delete it, you can revert the action by going to the Junk folder, selecting the email and then the **Not Junk** option.

- **Move to...** (Move the message to a different folder)
- **Copy to...** (Copy the message to a different folder)
- **Open the message in a new window**
- **Create a filter** (From the data contained in the **Subject**, **From** and **To** information)

## Preferences

The user preferences let you adjust various options and settings that control the behavior and the UI of the webmail application. *If you want to learn much more, check the [Roundcube documentation](https://docs.roundcube.net/doc/help/1.1/en_US/settings/preferences.html)*
After changing preferences, dont forget to save them by clicking the **Save** button below the settings form.
### 01. User Interface
To modify your user interface configurations, go to **Settings**, **Preferences** and choose **User Interface**.

This is the **User Interface** section:

#### Main Options are:
- **Language**: The webmail interface language is automatically selected from that of your computers operating system. However, if it does not or you want to change it to a specific language, you can do it here.
- **Time zone**: The client automatically translates dates into your local time zone. By default, it is set to **Auto**, allowing webmail to use the time zone configured on your computer. If you want/need to change it, just select a specific time zone from the list.
- **Time format**: Select how time is displayed.
- **Date format**: Select how dates should be displayed.
- **Pretty dates**: This option "translates" dates close to today into relative terms like “Today”, “Yesterday”, etc.
- **Display next list entry after delete/move**: Enable this option if you want to go directly to the next message after deleting/moving one instead of the message's folder.
- **Refresh (check for new messages, etc.)**: Select how often the client will look for new messages.
#### Interface Skin
Here is where you can choose how the webclient look like. **Beetroot** is the default **Disroot Webmail** flavor.
#### Browser Options
- **Handle popups as standard windows**: Whether you want to write a message or open it, you can choose to do it on the same window, in a new one or in a new tab. When this option is enabled, the client will behave according to your browser settings.
- **Register protocol handler**: you can register this webmail app to be opened when ever you click an email link somewhere on the web.
### 02. Mailbox View
To set or change options regarding the mailbox, go to **Settings**, **Preferences** and choose **Mailbox View**

#### Mailbox main options:

- **Mark messages as read**: Sets how long after selecting a message the client should mark it as read.
- **On request for return receipt**: Sets out what the client should do if the sender of a message requests for a read receipt.
- **Expand message threads**: When listing messages in threads, this option controls how conversation groups are expanded in the list.
- **Rows per page**: The number of messages displayed in the mailbox.
#### New Message options
- **Check all folders for new messages**: When enabled, the client will check all folders for new messages. This is useful when you have active filters that forward incoming mail to other folders than the **Inbox**. If it is disable, then by default, only the *Inbox* is checked for new messages periodically.
- **Display browser notifications on new message**: Enable or disable notifications on your browser when a new message arrives.
- **Display desktop notifications on new message**: Enable or disable notifications on your desktop when a new message arrives.
- **Play the sound on new message**: Enable or disable a sound notification when a new message arrives.
- **Close desktop notification**: Choose after how long the desktop notification should be closed.
### 03. Displaying Messages
Here you will find the settings regarding how the client should handle the messages.
To access these options, go to **Settings**, **Preferences** and choose **Displaying Messages**.

#### Main options

- **Open message in a new window**: When this option is enabled, double-clicking on an email will open it in a new window.
- **Show email address with display name**: If enabled, the sender's email address will be displayed next to his/her name when a message is opened.
- **Display HTML**: Enable this option to display rich text formatted messages. When disabled, formatted emails will be converted to plain text.
- **Allow remote ressources (images, styles)**: Formatted (HTML) messages can contain references to third-party resources. Allowing this type of content to be loaded by default can represent a serious risk to privacy. Choose how you prefer the client to proceed with them.
- **Display attached images below the message**: Check this option if you want images attachments to appear below the message.
- **Display emoticons in plain text messages**: When enabled, the client will "translate" pattern of characters such as **:)** or **:(** into emoticons.
##### Advanced options
- **Default Character Set**: A character set is a complete set of the characters (numbers, letters, punctuation marks, special symbols) and their number codes that can be recognised by a computing device. Here, you can select the character set/language the majority of your email correspondents use.
- **Show PGP/MIME messages (encrypted)**: When encryption is enabled on the server side, checking this option displays the encrypted content of a message in the mailbox view.
### 04. Composing Messages
In **Settings**, **Preferences**, choose **Composing Messages**

These options and settings determine the look and the experience of composing an email.

- **Compose in a new window**: Enable this option to open the email composer in a new window instead of the current window/tab.
- **Compose HTML messages**: Check this option to enable the rich text (HTML) editor when composing a new message. This is only the default setting for HTML message composing. It can be toggled at any time while composing.
- **Automatically save draft**: While you write a new message, a copy will be saved to the *Drafts* folder ever few minutes.
- **Always request a return receipt**: Enables the **Return receipt** sending option by default for new messages.
- **Always request a delivery status notification**: Activates the **Delivery status notification** sending option by default for new messages.
- **Place replies in the folder of the message being replied to**: Choose the current folder for saving the reply message to instead of saving it to the “Sent” folder.
- **When replying**: This option controls whether and where to place the quoted original text when replying to a message.
- **Messages forwarding**: Controls how messages are forwarded by default when clicking the **Forward** button without choosing a forward mode.
- **Default font of HTML message**: When writing a formatted (HTML) message, this font face and size is used for the default text formatting.
- **Default action of [Reply all] button**: When replying to messages coming from mailing lists, this setting controls how to reply to them.
- **Enable emoticons**: Enables emoticons to be used in the message when it arrives at its destination.
#### Signature options
- **Automatically add signature**: Select in which cases the signature text from your sender identity is added to a new message.
- **Place signature below the quoted message**: When replying to a chain, this will enable your signature to be placed underneath it.
- **When replying remove original signature from message**: This option removes detected signatures from the original message when citing it in the reply.
- **Force standard separator in signatures**: When checked, two dashes (--) will be added before your signature.
##### Advanced options
- **Attachment names**: Select the name encoding standard you want/need to use when sending attachments in messages.
- **Save in the browser's local storage (temporarily)**: This option allows or not to save information related to the composing of a message in the browser's local storage.
### 05. Contacts
Go to **Settings**, **Preferences** and choose **Contacts**.

These options and settings will control how your contacts are handled and displayed.

- **Default address book**: Select here the default address book where new contacts are saved to when adding them from the email view.
- **List contacts as**: You can choose how names are displayed in the contacts list.
- **Sorting columns**: Select the contact attribute used for sorting the contacts in the list.
- **Rows per page**: Enter here the number of contacts that will be displayed in the contacts list.
- **Skip alternative email addresses in autocompletion**: When this option is checked, every contact will only appear once in the autocompletion list that appears when you start typing in the recipient field. The first email address of the selected contact will then be inserted. If disabled, all email addresses of a matching contact are displayed for selection.
### 06. Special Folders
Some folders have specific purposes and are used by system processes to store messages. These settings allows you to choose which folders are used to store **Drafts**, **Sent** or deleted messages (**Trash**).
To access them, go to **Settings**, **Preferences** and choose **Special Folders**.

##### Main options

- **Show real names for special folders**: Enabling this setting the original names of the assigned special folders will be displayed in the folders list instead of localized names.
- **Drafts / Sent / Junk / Trash**: Change or set the mail folders.
- **Archive**: If you set an **Archive** folder, when hitting the *Archive* button in the mail view, selected messages are moved to this folder.
##### Archive
- **Divide archive by**: This option allows you to organize your archive folder in various ways. The selected message(s) can be filed into sub-folders of the archive according the sent date, the sender's email address or the folder the message is moved from. When set to None, all messages will be stored in the **Archive** folder without any sub-folders being created.
### 07. Server Settings
These options provides more advanced settings that control how messages are treated by the email server.
To set or modify them, go to **Settings**, **Preferences** and choose **Server Settings**

##### Main options
- **Mark the message as read on delete**: When this option is enabled, unread messages will be also flagged as read when deleting them right away.
- **Flag the message for deletion instead of delete**: Email messages can be flagged as deleted first before theyre finally removed from a folder. That also allows to “undelete” them later on. In order to finally delete them, use the Compact command from the Mailbox folders operations menu.
- **Do not show deleted messages**: This option suppresses messages flagged as deleted from being listed.
- **Directly delete messages in Junk**: Messages in the *Junk* folder are also move to the *Trash* first when deleting them. Skip that step by enabling this option.
- **Mark the message as read on archive**: Enable this option to flag as read the unread messages you send to the **Archive** folder.

##### Maintenance
- **Clear Trash on logout**: When checked, this will empty the **Trash** folder when you terminate the session.
- **Compact Inbox on logout**: If you enable this option, all messages flagged for deletion from the Inbox will be removed when you log-off.
### 08. Delete Old Messages
Go to **Settings**, **Preferences** and choose **Delete Old Messages** to configure how messages are deleted after certain amount of time.

You can set those values per folder if you go the **Folders** settings.
### 09. Message Highlights
You can assign specific colors to the messages based on a rule.
To do it, go to **Settings**, **Preferences** and choose **Message Highlights**.

You will see this screen:

You can choose the **Subject**, **From**, **To** and **CC** information to build a rule. To add another rule field, click on **add row**.
Let's see an example.
Let's say you want all messages **From** ***support@disroot.org*** have a pink color background.
You will need to combine and build some criteria to apply to the messages. In our case...

## Folders
Here are the settings that allows you to manage the mailbox folders.

By selecting one you will see in the right pane, information regarding location of the folder, viewing options, when a message is old and how many there are currently. In the mailbox default folders, only the display mode and the age of the mails can be changed.

In the folder list, the right column indicates whether a folder is subscribed or not. By clicking on the on/off button you can change the subscription for that folder.

Subscribed folders are displayed in the email view while unsubscribed ones are hidden and only visible here.
### Creating a folder
To create a folder:
01. Click on the **Create** folder button.

02. Enter a name for the folder.
03. Select or create a parent folder (the **Parent folder** field is already pre-selected whith the folder currently selected in the folder list)

04. Select the display mode and set when messages should be deleted.
05. Click **Save** to finish.

### Folders hierarchy
To maintain a certain order, you can create folders or hierarchical folder structures.
To move a folder simply drag & drop it from the list onto the desired parent folder.

You can also select the parent folder in the property form in the right and by hitting Save the currently selected folder is moved to its new parent.

## Identities

### Default identity
Your identity is the name and email address displayed on the recipient's mailbox when you send an email.
To access it, click on **Settings** and then **Identities**.

You will see your default identity (*testuser@disroot.org* in this example).
If you click on it, you will have access to some settings.

- **Display name**: the full name displayed in the recipients email program when you send out a message. It can be anything you want.
- **Email**: your default **Disroot** email address. **Don't change it** otherwise message sending might fail because of an invalid sender address.
- **Organization**: This is optional. If you add this information, some email programs may display it when receiving messages from you.
- **Reply-to**: This is optional. If you want the recipient to reply to a different email address than the one you sent a message to, then type it here.
- **Bcc**: This is optional. If you want an email address to receive a blind copy of all the messages you send with this identity, enter it here.
- **Set default**: Make the current identity the default selection when writing new messages. However, you can still choose another sender identity when composing a message.
You can also create a signature by using the editor. Click on the edit mode selector in the upper left corner of the box and start composing it. This signature will be inserted to the bottom of the message you write.

Visit **Settings > Preferences > Composing Messages** to configure when and how signatures signatures are inserted.

### Creating identities / aliases
Here you can set up an alias to your email.
An email alias is just a forwarding address. All the messages sent to this alias are forwarded to your email account. This alias does not necessarily exist, has no inbox or login credentials, and it is a very useful tool to manage your emails more efficiently. For example, you may need to share an email address without exposing your personal one or if you are on a mailing list and need to organized the emails related to it.
By default, all Disrooters have two email aliases: *username@disr.it* and *username@getgoogleoff.me*.<br> *To add more aliases, please check [here](https://disroot.org/en/services/email#alias) to learn more about it.*
To add an alias / identity, click on **Create**.

1. **Display name**: Here you must enter a name to identify the alias.
2. **Email**: Set the alias of your choice, for example *username@disr.it* or *username@getgoogleoff.me* or whatever valid alias you donated for.
- **Organization**, **Reply To**, **Bcc**, **Set default** and **Signature** options we have already seen them.
3. **Save**: Do not forget to save your changes.
4. Once saved, your identities appear here.
### Sending an email with another identity
To change your identity when you compose your email:

2. Choose the one you want by simply clicking on it.

## Responses
This option allows you to save responses, which can be handy when repeatedly writing emails with the same text.
**Note**: these are only text snippets that can be inserted anywhere and not message templates with subject, text or attachments.

### Creating a Response
There are two ways of creating a Response.
01. First one is to create a response from **Responses** option in the **Settings** by clicking the **Create** button.

Enter a name to identify your response, the text and finally **Save**.

You can also edit your responses from here: their names, their contents, delete them, add new ones.
02. The second way to create a response while composing an email.
Go to **Compose** and click on **Responses** button in the top bar to add or insert a response to your email.

You have three options here:
- **Insert a response**: If you have one or more responses set up, they will appear here. Just click on it to insert it your email.
- **Create a new response**: Click on this option to create one. The creation box will open, enter a name and text of your response and save it.

- **Edit responses**: Clicking on this option will get you to the **Settings**, in the **Responses** section where you can edit the responses.
